08/09/2005 - NEW Departmental Deposit Information Sheet (DDIS)   

Accounting Services has developed a revised Departmental Deposit Information Sheet (DDIS) form.  The new form is attached to this announcement, and is also available from the Forms page of this Accounting Services website.  All deposits (and related documentation) submitted to the Bursar's Office after September 1, 2005 will need to utilize this new form.

07/28/2005 - FY 05 Year-End Deadlines   

Attached is the notice of year-end closing reminders for fiscal year 2005 and inventory reporting form.  Please review the information presented and advise us of any questions or concerns. 07/12/2005 - Effort Reporting / PARs   

The federal requirements for effort reporting, which are satisfied at TTUHSC by Personnel Activity Reports (PARs), were summarized and discussed at the Quarterly Finance & Administration Update Meeting on July 7th, 2005.  The presentation slides are attached here.  Please contact Tom Downen if you have any questions about this process.

06/23/2005 - NEW Account Information Form   

Accounting Services has developed a standardized Account Information Form, that will consolidate and replace the Account History Form, the Endowed Account Establishment Form, the Application for Establishment of a Current Restricted Account, and the Texas Tech Medical Foundation (account establishment form).  This new Account Information Form is available from the Forms page of the Accounting Services website.  All future account establishment requests submitted to Accounting Services will need to utilize this new form and will still need to be accompanied by an initial Budget Revision, a completed Signature Authority Form, and a copy of the associated contract (where applicable).  This new Account Information Form can also be used to update information for an existing account.

06/09/2005 - NEW Bank Reconciliation Form   

Accounting Services has developed a new standardized bank reconciliation form to be used by all bank account reconcilers.  The new form is attached to this announcement, and is also available from the Forms page of this Accounting Services website.  All bank reconciliations submitted to Accounting Services after June 30, 2005 will need to utilize this new form.

05/12/2005 - Budget Revisions   

Effective June 1st, Accounting Services will no longer return paper copies of Budget Revision forms to the departments.  For multi-year account revisions, Accounting Services will e-mail a confirmation of the processed revision to the contact in the department.  The Budget Office processes all revisions for fiscal year accounts.

04/15/2005 - New Accounting Supervisor

A new Accounting Supervisor has been appointed in Accounting Services.  Michele Craven will assume her new duties effective May 1Michele has been working in Accounting Services for about a year, and she worked for several years prior in accounting and management functions in other industriesMichele will be overseeing the accounting for designated funds and income plan funds and also the functions of banking, receivables management, and some cost transfer processing.  Please join us in welcoming Michele to this new role.

04/08/2005 - Cash Controls Documentation

Please be reminded that updates to cash controls documentation must be completed and submitted to Accounting Services at least annually, usually in May.  This includes Cash Collection Procedures (required by HSC OP 50.07), Cash Fund Control Plans (required by HSC OP 50.21), and Comprehensive Cash Handling Procedures (required by HSC OP 50.08).  Attached are the slides from the presentation of this topic at the Quarterly Finance & Administration Update Meeting held on April 7.  Please contact Tom Downen, Christy Blakney, or Suzanne Dean if you have questions.

10/08/2004 - Financial Reporting Using Microsoft Access

As discussed at the Quarterly Finance & Administration Update Meeting held on October 7 (slides attached), a new financial reporting tool is being offered to departmental users.  This new reporting option is based on Microsoft Access and utilizes newly established SQL views of TechFIM general ledger and chart of accounts table data.  To effectively make use of this new reporting tool, departmental users should have at least a basic understanding of Microsoft Access and the query function.  Please feel free to contact Accounting Services (Tom Downen or Christy Blakney) or Business Affairs (Mike Crowder or Patty Conner) for additional information about this exciting new option.

09/29/2004 - Rescheduling of September Accounting Close

To accommodate various departmental processes, the accounting close for September is being delayed one week.  September close is now scheduled for the second weekend in October (October 8 - 10), instead of the first weekend (October 1 - 3).  Based on this revised schedule, we expect ledger reports to be available on Monday, October 11 or Tuesday, October 12.  Other monthly financial reports will be distributed throughout that week.

08/03/2004 - Updated FY 2004 Closing Reminders

The attached notice of year-end closing reminders for fiscal year 2004 has been updated to reflect more accurate end dates for BankOne statements and to include contact information for new employees that recently joined or will be joining Accounting Services.

06/04/2004 - Resignation of Debra Lloyd

Debra Lloyd will be vacating her Accounting Supervisor position effective June 16.  She has accepted a position outside of the Health Sciences Center.  Her current job duties will be assumed by Christy Blakney and Tom Downen during the interim period after her departure and before a replacement has been hired.

04/16/2004 - Resignation of Teri Riedel

Teri Riedel will be vacating her Accounting Supervisor position effective April 28.  She has accepted a position outside of the Health Sciences Center.  Her current job duties will be assumed by Christy Blakney and Tom Downen during the interim period after her departure and before a replacement has been hired.

12/17/2003 - Rescheduling of December Accounting Close

Randa Lang will be vacating her position as Unit Supervisor effective November 21.  She has accepted a position outside of the Health Sciences Center.  Her current job duties will be assumed by Christy Blakney and Tom Downen during the interim period after her departure.  Recruiting for this position will begin shortly.

09/17/2003 - Transfer Documents

In recognition of the widespread confusion regarding which transfer request document should be used for particular fiscal scenarios, Accounting Services has developed the attached clarifying explanation.  It should help users to determine when it is most appropriate to use an Interdepartmental Cost Transfer Request, a Funding Transfer / Transfer Voucher (TV), or an Intra-Institutional Voucher (IV).  In addition to attaching the clarification to this announcement, it is also posted to the procedures page of the Accounting Services website.

08/25/2003 - New Associate Director

A new Associate Director has been hired in Accounting Services.  Christy Blakney, CPA, assumes her new duties effective August 25.  Christy is new to TTUHSC, but has many years of experience in accounting and financial management covering many different industries.  Christy can be reached at extension 233.  Please welcome Christy to Accounting Services and to TTUHSC!

07/11/2003 - Federal R&D Audit

As discussed at the June 10, 2003 Quarterly Finance & Administration Update Meeting, an audit of our federal R&D programs will be conducted by KPMG starting July 28, 2003.  This limited scope audit will review our processes and procedures related to Cash Management, Procurement, and Allowable Costs.  Principal Investigators and related Administrators should be prepared to respond to audit inquiries regarding these three topics, particularly Allowable Costs.

05/27/2003 - Cash Controls

In order to improve internal cash control procedures, all of the HSC operating policies and procedures (OPs) relating to cash handling and cash controls have been revised.  The revised OPs are 50.07, 50.08, 50.10, 50.12, 50.20, and 50.21 and are available from the web at http://www.ttuhsc.edu/hsc/op/op50indx.htm.  Attached to this announcement are the revised OP documents, in a format that highlights the many changes, additions, and deletions that were made.

These OP revisions are effective immediately.  Please be sure that all employees in each cash handling area are familiar with the new requirements.

05/16/2003 - Resignation of Susan Snead

Susan Snead will be vacating her position as Accounting Operations Manager effective June 6.  She has accepted a position as Chief Financial Officer for Market Lubbock, Inc.  Her current job duties will be handled by Tom Downen in the interim period after her departure.

05/09/2003- Resignation of Lisa Rivera

Effective May 2, Lisa Rivera resigned her position as Assistant Accounting Manager - Restricted to pursue a job outside of the Texas Tech University Health Sciences Center.  Her job duties are temporarily being handled by Susan Snead.

03/27/2003- Accounting Services Is On The Web!

The Accounting Services website is currently under development, with new content being added regularly. The website allows for electronic access to common forms, selected financial reports, and procedural explanations. It also provides contact information and links to related websites. Please send questions and comments to accounting@ttuhsc.edu.
